This selection will display all Accounts Payable entries for a predefined group (Prior Year Purchases, Total Purchases by department etc.). Review the amounts charged to prior year purchases every month and other account groups when necessary. For example, if your margin in new text is low, select New Text Purchases to determine why the margin decreased.
Important: You must review this report every month for Total Prior Year Purchases (PYP).
- On the Report Selection screen, click the appropriate radio button (Month or Cumulative) and click Enter.
The AP Activity for an Account Group screen appears. View Field Definitions.
|Report Selection||This link returns you to the Report Selection screen where you can choose another report type.|
|Export||This link generates an Microsoft Excel™ version of the report. Follow the onscreen instructions to save the report.|
This link takes you to the AP Purchases Explanations screen where you can find the definitions of each of the codes in the following code groups:
|Corrections Deadlines||This link takes you to the Inventory Accounting Purchase Analysis page on The Quad where you can view the deadline table, as well as access other documents such as the PA Corrections Worksheet.|
|Inv Acctng Contact Info||This link opens a list of Inventory Staff Accountants and their contact information|
|Corrections Sheet||This link opens the Purchase Analysis Corrections Worksheet. Follow the steps on the Instructions tab to properly complete this worksheet.|
|Shrink Busting||This link takes you the eStore Portal Shrink Busting page. See the online help for the Shrink Busting application for further instructions.|

Note: It may be helpful to review certain account groups more closely, such as used text or clothing. You could also review total Prior Year’s Purchases (PYP).
Type the date range in the From and To fields using the following format: mm/dd/yy.
You can also click the calendar icon and choose the desired date range.
Note: You can scroll forward or backward through the months by clicking the arrow button on either side of the calendar.
|Search||Once you have entered your parameters, click Search to generate the report.|

This area of the screen is the actual report. Items will be listed according to the order you chose in the Sort By fields. The following field is editable in the report:
- Select a predefined group from the list.
- Type the date or date range using a mm/dd/yy format.
- or -
Click the calendar icon and choose the desired date.
Note: You can scroll forward or backward through the months by clicking the arrow buttons on either side of the calendar.
- Click Search.
The AP Activity for an Account Group screen appears.
