SSIS Screen Column Definitions
Invoice Screen
- View Term Detail(s): This takes you to the Term Detail screen that has all of the term, whether available to true up or not, present.
- Store #: This is your 4 digit store number.
- Store Name: This is the name as seen in Course Tracks (CT).
- Last Invoice Created: This is the last invoice that was completed during this process.
- Term(s) Ready to Invoice: If you see a number greater than 0 in the Term(s) Ready to Invoice column, there are terms that can have an invoice created. If it shows 0, there are no terms that can have an invoice created, or you are in the middle of creating an invoice.
- View Invoice & Adjustment History: This allows you access to all completed Invoices and Adjustment forms that were created for each term. This stores two years of activity for your reference.
Important! If the invoice needed manual intervention from the Follett ACCESS Accounting team, only the Adjustment History is available for that term.
Term Detail Screen
- Create Invoice (populates after LDTPD): When selected, you are directed to the Invoice Creation Checkpoint screen where you can view any orders that may not be correct and have an opportunity to correct them.
- Early Invoice (populates before LDTPD): When selected, an Early Invoice report will generate with information that you can review.
- Parent/Nested Term Name: Name of the parent or nested term as seen in Course Tracks (CT).
- Last Invoice Created: Date the latest invoice was created for this term.
- LDTPD: Shows the Last Day to Process Drops (LDTPD) for that term as seen in CT.
- Last Date to Create Invoice: Last date an invoice can be created for the term.
- Created By: Indicates the user name that created the last invoice.
- Status: Shows the stage of the process for invoice creation.
- Ready to Create Invoice: Term is eligible to start the invoice process.
- Awaiting Response from SODA: SODA needs to return the true up lines, waiting for it to respond.
- Awaiting variance check completion by Follett ACCESS Accounting: Follett ACCESS Accounting team is cross-checking the SODA true up response with CARRR to ensure that there are no inconsistencies.
- View Completed Invoice(s) & Adjustment(s): The Invoice and Adjustment Form are ready to be exported and viewed.
- Manual adjustment to invoice was needed. Contact Follett ACCESS Accounting Team: A variance was identified when checking the SODA response and CARRR. The Follett ACCESS Accounting team will make a manual adjustment to the invoice and send it to you in 24-48 hours. If you have questions, email the Follett ACCESS Accounting team, CC: your account manager and customer solutions manager.
- No new data to Invoice: SSIS does not allow you to run the invoicing process again if nothing has changed. (e.g., returned orders, new orders processed).
- No student is enrolled in this term: There is no enrollment for this term, so no need to create an invoice.
- Sales End Date passed & No Invoice can be created: The CARP account and/or CourseTracks SED is in the past, needs to be in the future to create an invoice.
- Last Day to Process Drops has not passed: The invoicing cannot start until the LDTPD is in the past.
Important! Check the Status area anytime you want to know the stage of the process for your invoice.
Invoice(s) & Adjustment(s) Screen
- View Invoice: View the invoice that was created for that term.
Important!: If you are only able to select View Adjustment Form, a variance was found when checking the SODA response and CARRR. The Follett ACCESS Accounting team will make a manual adjustment to the invoice and send it to you in 24-48 hours. If you have questions, email the Follett ACCESS Accounting team, CC: your account manager and customer solutions manager.
View Adjustment Form: View the Adjustment Form that was created for that term. This form consists of all of the Questionable Orders seen on the Invoice Creation Checkpoint screen.
Parent/Nested Term Name: Name of the parent or nested term as seen in Course Tracks (CT).
- Report Type: Indicates the type of report generated.
Created On: Date the invoice was finalized and made available in the View Invoice & Adjustment History screen.
Created By: Indicates the user name that created the last invoice.
- Last Date to Create Invoice: Last date an invoice can be created for the term.
- Uploaded On: Indicates the date the invoice was uploaded.
- Uploaded By: Indicates the user that uploaded the invoice.
- Status: Shows the stage of the process for invoice creation.
- Invoice & Adjustment Form created successfully.
